Our Event Fulfilment Service provides companies who exhibit at events, host their own events or just need assistance with managing collateral/materials for their sales representatives with a complete support solution. Our in-house storage facility allows Lumisi to manage all our clients materials in one secure location, central to the UK. A common challenge our customers face before working with Lumisi is that all their materials are spread across multiple locations around the UK or around the world, meaning they are’n’t entirely sure what materials they have, where they are kept and how many are available, causing their reps to be short of marketing materials when on sales calls or during or exhibitions.
Our unique cloud-based inventory system (known as Inventory 3.0) is our third generation software that has developed over 20 years of working in the industry. The system gives our clients the ability to view their materials and stock levels at the touch of a button. Client’s can view all the materials (whether its Stands, Promo Products, Literature or Support Materials) page by page or use the multi-level filtering system to narrow the search and find the items they need. The system along with the Lumisi events operations team will then perform a number of checks to confirm availability, check transit times between orders and check that the materials are suitable for the event being planned by testing and checking stands etc.
The Lumisi events team have operated in Logistics for over 20 years providing our client with invaluable expertise in this field. This knowledge gives Lumisi the ability to recommend or choose the most suitable courier and service level depending on the variables based around your event and the deadlines or timescales required. Our on-house team will also liaise with venues, couriers and on-site contacts once the event is finished to ensure any left-over materials are returned into storage, ready for the next event. A return condition report is completed on return, not only to check the quality of the materials but provide detailed analysis of quantities to ensure numbers are always accurate.
As well as Logistics expertise, our team are extremely knowledgeable about events and exhibitions and the stands or materials that show off our client’s brand image whilst at events. Working closely with the Creative team, Lumisi are able to provide multiple options to the client of what type of stand will suit their style & budget to maximise their exposure at the event. Lumisi will also install and dismantle stands no matter what the size so our client’s can focus on what they do best and not have to think about the logistics or admin that exhibitions require.

Storage and Stock Control
An important element of the Event Fulfilment service from Lumisi is ensuring and maintaining up to date and accurate stock levels within our centralised storage facility. This gives our client’s the knowledge to plan ahead for their events, knowing when they need to replace or replenish materials based on their upcoming events and the amounts required for these events. Over the years we have invested heavily in warehousing productivity projects to ensure our operations mirror the client requirements and maintain very high standards. Utilising dedicated warehousing staff and the latest technology advances we are able to push the boundaries and exceed customer expectations in this area. The introduction of Inventory 3.0 also provides stock alerts based on thresholds set by the client, a dedicated account manager will double check availability after each order is placed and Lumisi can provide detailed reports on stock availability and usage. Our Return Condition Reports are also very detailed providing accurate numbers of materials that have been returned, down to the very last pen or post-it notepad!
